Privacy policy

LingoRep analyzes microphone recordings to create private spoken-English coaching reports and practice exercises. This policy explains what we collect, how we use it, and the controls available to you.

Who is responsible for your data

LingoRep is operated by an independent developer. The operator controls the personal data described in this policy and provides the Service under the name LingoRep.

What this policy covers

This policy applies to:

  • lingorep.com and the LingoRep web coach;
  • the LingoRep Chrome extension; and
  • related account, billing, support, and email services.

We call these products and services the Service.

Data we collect

Account and authentication

We may collect your name, email address, profile image, email-verification status, authentication cookies, LingoRep access token, email preferences, and account timestamps. If you use a third-party sign-in option, the provider sends us the basic profile information you authorize it to share.

Web sessions and LingoRep access tokens can remain valid for up to 90 days. Email sign-in links expire after 15 minutes and are single-use.

Coaching and practice

For a recorded Session, we collect or create microphone audio, recording metadata, processing status, a transcript, language feedback, scores, learning focuses, Practice Cards, answers, review timing, and AI usage totals. Recording metadata includes time, duration, analyzed duration, file type, file size, and target language.

Extension storage and permissions

The extension keeps the information needed to preserve your sign-in, subscription and usage summary, meeting settings, recording state, one pending recording, and the active Session after a browser restart.

The extension requests permission to show controls, record microphone audio, and work on supported meeting pages. It uses meeting-page access to identify whether a supported meeting tab is open and follow the meeting microphone state when auto-pause is enabled. It does not collect your general browsing history, bookmarks, or page text.

Billing, support, and email

Our payment processor collects payment details. LingoRep does not receive your full card number. We store subscription identifiers, plan, status, and billing-period dates. If you contact support, we collect your name, email address, subject, message, and anything else you choose to send.

Marketing email is enabled when an account is created. You can turn it off in account settings. Every marketing message will include an unsubscribe link. Weekly learning summaries have a separate setting.

Website analytics and logs

The website and our service providers may collect IP address, request time, requested URL, response status, browser and device information, approximate location, page views, navigation, referrer, performance, and error data. Our analytics and performance services may use cookies or similar browser storage.

Recordings and AI processing

The extension records the microphone track. It does not capture the remote-audio stream from a meeting page. Your microphone can still pick up nearby people or sound played through speakers. You are responsible for following applicable law, workplace rules, and notice or consent requirements when recording.

A completed recording remains in extension storage while it is needed for processing, recovery, retry, or current-report playback. The extension sends it securely to an AI processing provider. LingoRep does not store the raw audio file.

The AI provider creates the transcript and coaching result. LingoRep may provide limited recent learning context, such as focus areas and mistake patterns, to prioritize feedback. We configure analysis requests not to retain interaction history and ask the provider to delete uploaded audio after analysis or a processing failure. The provider may retain limited data for security, abuse prevention, reliability, or legal reasons.

LingoRep does not use recordings, transcripts, or reports to train a general-purpose AI model. AI feedback may be incomplete or wrong and should be treated as learning guidance.

How we use data

We use personal data to:

  • create and secure your account;
  • record, transcribe, analyze, and score your speech;
  • create reports, progress views, learning focuses, and practice;
  • recover or retry interrupted processing;
  • manage subscriptions, payments, and usage limits;
  • send account, learning-summary, and permitted marketing email;
  • respond to support requests;
  • measure reliability, diagnose failures, and prevent abuse; and
  • comply with law and protect legal rights.

Legal bases in Europe

Where European data-protection law applies, we process data to perform our contract with you, comply with legal obligations, and pursue our legitimate interests in operating and protecting the Service. We rely on consent where the law requires it, including for non-essential browser storage or marketing. You can withdraw consent at any time.

How we share data

We share personal data only as needed to operate the Service, protect users, comply with law, or complete a business transfer. Our main provider categories are:

  • hosting, data storage, processing, security, and logging;
  • account authentication and AI analysis;
  • website analytics and performance measurement;
  • checkout, payment processing, and subscription management;
  • account, learning-summary, marketing, and support email.

We do not sell personal data. We do not transfer personal or sensitive extension data to advertising platforms, data brokers, or information resellers.

Chrome Web Store Limited Use

Extension data is used only to provide or improve spoken-English coaching, maintain security, and measure feature reliability. We do not use it for personalized advertising, creditworthiness, or lending. People may access private extension data only with your permission for support, when needed for security, when required by law, or after the data has been aggregated and anonymized for lawful internal work.

We follow applicable user-data and Limited Use requirements for information received through connected account services.

Retention and deletion

We keep personal data while it is needed to provide the Service, keep required business records, resolve disputes, maintain security, and meet legal obligations.

  • The extension keeps one completed recording while it is needed for processing, retry, recovery, or active-report playback. Closing or discarding the report, replacing the recording, or receiving an insufficient-input result clears it. An interrupted upload may remain locally until you retry or discard it.
  • We ask the AI provider to delete uploaded audio after analysis or failure. Provider safety data, caches, or a file whose cleanup failed may follow the provider's retention rules.
  • Deleting an individual Session removes it from product views and future learning context. The stored Session and related Practice Cards remain until the account is deleted.
  • When we complete an account-deletion request, we delete all associated Sessions and Practice Cards from our active systems. Limited copies may remain in backups until they expire, and the law may require us to keep limited records.

Your choices and rights

You can:

  • choose when to start, pause, and stop recording;
  • leave meeting auto-start off or disable it later;
  • retry or discard an interrupted Session;
  • delete a Session or remove a Practice Card;
  • manage weekly summaries and marketing email in account settings;
  • unsubscribe through a link in a marketing message; and
  • clear cookies or extension data through browser controls.

Depending on where you live, you may also have rights to access, correct, delete, restrict, object to, or receive a portable copy of your personal data, withdraw consent, and complain to a data-protection authority.

Account deletion and data export are handled by email. Send your request to support@lingorep.com. We may ask for information needed to verify the request. Legal, security, and record-keeping exceptions may apply.

International processing

LingoRep's providers may process data outside your country, including in the United States. Where required, transfers use an approved legal mechanism and appropriate safeguards.

Security

We use encrypted network connections, account protection, access controls, permission checks, and limits on what appears in operational logs. No online service can guarantee absolute security.

Children

The Service is intended for adults and is not directed to anyone under 18. If you believe a child has provided personal data, contact us so we can investigate and take appropriate action.

Changes to this policy

We may update this policy when the Service, providers, or legal requirements change. We will post the revised policy with a new effective date and provide any additional notice or request consent when required by law.
